Position Description Compliance Review - For
Decentralized Agencies
In
an effort to streamline how the Position Compliance Reviews have
been conducted in the past and to keep the disruption of your daily
routines to a minimum, the staff of the Class Plan Services Unit
is pleased to introduce the following procedure for conducting future
Position Description Compliance Reviews.
- The staff
of the Class Plan Services Unit develops an annual PD Compliance
Review schedule.
- Thirty
(30) days before the scheduled review for a given agency, the
DAS analyst will telephone the agency's Human Resources Offices
to obtain the name and e-mail address of the person who will
act as the agency's designee for the scheduled review.
- The agency
designee will then be sent an e-mail requesting that the attachment,
the Electronic Position Description Compliance Review Questionnaire,
be completed and returned within fifteen (15) working days from
the date of the e-mail.
- The Electronic
Position Description Compliance Review Questionnaire contains
a series of questions as to when certain, mandatory documents
will be forwarded to DAS for review. The documents are to be
submitted within fifteen working days from receipt of the e-mail
notice indicating that the agency has been scheduled for its
PD Compliance Review.
- From the
Position Description Log and current Table of Organization,
the assigned DAS analyst will randomly select positions for
review as part of the compliance review. If the agency requested
that certain positions be reviewed in their completed questionnaire,
the positions will also be made a part of the review.
- E-mail
will be sent to the agency designee asking for copies of the
Position Descriptions or Position Description Change forms that
cannot be located in the DAS State Records Center. The agency
will have ten working days to furnish the required documents.
- Within
thirty days from receipt of the outstanding documents, the assigned
analyst will complete a report of his/her findings and recommendations.
- The analyst
will send an e-mail notice to the agency designee to arrange
a meeting to review the report and recommendations prior to
the official release.
- Within
two weeks from the meeting, the official report and cover letter
will then be sent by e-mail to the affected agency for a response.
- The designee
is to submit the agency's formal response within thirty days
from receipt of the e-mail.
